Information for presenters

Welcome to the Teaching, Learning & Innovation Summer Institute at Georgetown University! We are excited to have you as a presenter at this year’s Institute. Below is important information to ensure a smooth and successful presentation experience for you and our attendees.

All presenters must register for the Institute. This ensures that we have your name badge, lunch, and access to Zoom links ready for you. Don’t forget to add lunch to your schedule if you plan to attend the lunchtime keynotes!

Your session details

As TLISI approaches, we want to ensure that you are fully informed and comfortable with how your session will run and potentially be shared afterward. Please review the information below, and reach out to us if you have any questions.

We also invite you to:

  • Review and edit your session description in the schedule. (If you need to make changes to your session, you may also email us at 
  • Session details will be available online through Sched, accessible to all attendees.
  • Review and update your presenter profile. 

Creating and uploading presentation materials

The TLISI team is working this year to make all presentation handouts/presentation materials available to attendees in advance, for disability access reasons. To this end, we ask all presenters to read the following information around your presentation materials. 

Creating your slides

  • We’ve designed a TLISI-branded, accessible slide deck template for your convenience. Using this Google Slides template to create your presentation is highly recommended.
    • Apple Keynote and Powerpoint presentations can work, but you should be aware that uploading/downloading Powerpoint files to Google Drive can sometimes impact the formatting within your file. 
  • If video will be a part of your presentation, be sure to update the share settings on any mp4 videos you embed in your presentation to “Anyone can view.” Videos from Youtube or other online platforms do not require this step. 
  • After you add your presentation to the TLISI 2024 Presentation folder, we’ll review your slides to make sure they work properly and are accessible. 

Adding/uploading slides 

  • You should add a shortcut to your presentation to the presentation folder by May 17. You can also share your Slides with, and we will make sure it is in the folder.
  • You’re able to upload presentation materials to the Sched platform. We highly encourage you do this before your presentation! 
  • For those presenting in-person, please note we’ll have staff in the room to support your presentation setup. 

Communicating with attendees

Presenters have the ability to send emails to session attendees through Sched. However, please note that all messages must be approved by a TLISI admin within the Sched system. If you wish to email attendees before or after your session, please be aware that there may be a delay in communication due to the approval process. We endeavor to approve all messages within a day. Virtual presentation information 

To join your workshop’s Zoom session:

  1. Log in to the Sched platform using the email you registered for the Institute with (should be your email, but your password is unique to the Sched platform. It is NOT your NetID password credentials by default, unless you created your account with that username/password).
  2. Once logged in, find your session in the schedule.
  3. Ten minutes before your session is set to begin, the Zoom link will appear in the session details. Ten minutes before your session, find the Zoom link in the schedule.

If you would like to join your TLISI virtual session earlier than 10 minutes before, please join using the Zoom link in the email that will be sent to you the week prior by CNDLS.

A CNDLS staff member will assist with Zoom technicalities during your session. They will be able to ensure that you and other presenters are co-hosts and thus can share screen and manage breakout rooms. If you plan to use anything more advanced than screen-sharing and breakout rooms (e.g. polls) please contact us the week before so that we can work with you to set those up in advance of the session.

In-person presentation information

  • CETS and/or CNDLS staff will support your setup in your designated presentation room. Be sure to double check the schedule to see which room your session will be in—it might change! 
  • We’ll help you access and display your presentation from the presentation folder.
  • We will provide the following supplies in every session room before day starts:
    • Large post-it boards
    • Small/normal post its 
    • Markers

In-room technology 

  • Unless you opted out of streaming, recording, and sharing your session to the Georgetown community on DigitalGeorgetown (by completing this agreement form), our staff will set up a livestream and record your session. 
  • Let us know ASAP if anyone on your team needs to present remotely. This impacts how we need to prepare the in-room technology. 
  • How you plan to engage virtual participants is up to you—we’re available to support a livestream or more involved hybrid workshop. Please reach out to us by May 15 if you’d like to set up polls, breakout rooms, etc. for virtual participants. 

About the venue

TLISI is held on Georgetown University’s main campus in the Healey Family Student Center (see directions). 

  • The closest parking lot is available in the Southwest Quad garage. (The current hourly rate is $5/hour to the $25 maximum per day.) Street parking is also available, pending local DC permit requirements.
